Flattening the Fund Structure: Using Alma’s Fund Structure & Reporting Codes

The University of Kentucky had been on Voyager since 2001. We had built a complex fund structure using reporting funds to map funds accurately over to the University’s SAP system and provide break downs by subject and format. In addition, the Acquisitions Department Head had been relying on an access report and a code in the invoice note field to provide accurate ARL statistics. When the Libraries migrated to Alma in January 2016, it quickly became apparent that the fund structure would need substantial reworking to be functional in Alma. Starting in July 2017, a new fund structure was implemented that substantially reduced the over number of funds. In addition, the reporting code was used to provide information for accurate export of the invoices to the University SAP system. These changes have made it easier for academic liaisons to identify funds, for reports to be pulled, and more accurately mirrors the University SAP system.
